Who is responsible for your data
The controller of the personal data described in this policy is MLJ, SASU, publisher of MidwifeLedger, registered in Paris under SIREN 934 769 837. The publication director is Jimenez Julien. You can reach a person about anything in this policy at jimenezjulien42@gmail.com. Company details in full are on the legal notice.
This policy covers the midwifeledger.com marketing website only. Client records held inside the MidwifeLedger application are covered by the separate data processing agreement and business associate agreement signed with each practice, where the practice is the controller and MLJ, SASU acts as processor on the practice's instructions.
What the request form collects
The only place this website collects personal data is the request form in the contact section of the home page. The fields it sends are exactly these: name (your full name), email (your work email address), company (your practice name), role (your role in the practice, chosen from a list), request (whether you want a demo, early access or a quote), size (the number of births you attend in a typical year, chosen from a range), message (your free text answer about your charting), and consent (the checkbox recording that you agreed to be contacted).
Three hidden fields travel with the submission for routing purposes: form-name, subject and recipient. A honeypot field named bot-field is present and must stay empty; it exists only to catch automated spam and is not used to profile you. Netlify records the submission timestamp and the originating IP address as part of its own spam protection.
Please do not put client names, dates of birth or any clinical detail in the message field. If you send us protected health information by mistake, tell us and we will delete it and confirm the deletion in writing.
Why we hold it, and on what legal basis
We use what you send for one purpose: to answer your request, prepare a demonstration that matches your practice, and follow up on that conversation. We do not add you to a marketing list, we do not sell or rent your details, and we do not share them with a partner or a reseller. Under the EU General Data Protection Regulation, our legal basis is your consent for the initial contact and our legitimate interest in responding to a business enquiry addressed to us. Where a subscription follows, the basis becomes the performance of a contract.
Who processes it
Submissions are processed and stored by Netlify, Inc., 512 2nd Street, Suite 200, San Francisco, CA 94107, United States, which hosts this website and operates its form handling. A copy of each submission is delivered to a Google mailbox at jimenezjulien42@gmail.com, which is where the reply is written. No other processor receives your submission. This site runs no advertising trackers, no third party analytics cookies, no session recording, no heat mapping and no social pixels. The fonts are loaded from Google Fonts, which receives the request as part of serving the font file.
How long it is kept
Request form submissions are kept for twenty-four months from your last contact with us, then deleted from both the form store and the mailbox. If the conversation leads to a subscription, the correspondence is retained for the life of the account and for the statutory accounting period afterward, which in France is ten years for records that support an invoice. If you ask us to delete your enquiry sooner, we do it within thirty days and confirm by email.
Your rights in the United States
If you live in California, Colorado, Connecticut, Utah or Virginia, state privacy law gives you the right to know what personal information we have collected about you, to obtain a copy of it, to correct inaccuracies, to delete it, and not to be discriminated against for exercising any of those rights. We do not sell personal information and we do not share it for cross context behavioral advertising, so there is nothing for a do not sell request to stop, but you are welcome to submit one and we will confirm that position in writing. California residents may also designate an authorized agent to act for them. We do not use personal information for automated decision making or profiling of any kind.
Your rights under the GDPR
If you are in the European Economic Area or the United Kingdom, you have the right to access your data, to have it corrected, to have it erased, to restrict or object to its processing, to receive it in a portable machine readable format, and to withdraw consent at any time without affecting processing that already took place. You also have the right to lodge a complaint with a supervisory authority; in France that is the Commission Nationale de l'Informatique et des Libertes.
How to exercise your rights
Send one email to jimenezjulien42@gmail.com saying what you want done. There is no form and no portal. We respond within thirty days, and usually within two business days. We may ask one question to confirm you are the person who submitted the form, but we will not demand identity documents for a routine deletion request.
Children's privacy
This website is aimed at licensed midwives and the businesses they run. It is not directed to children, and we do not knowingly collect personal information from anyone under sixteen years of age. If you believe a child has submitted the form, write to us and we will delete the record promptly.
International transfers
MLJ, SASU is established in France and the hosting and mail processors named above are established in the United States, so data you submit crosses the Atlantic. Transfers rely on the European Commission's standard contractual clauses and on the EU to US Data Privacy Framework where the processor participates in it. The volume of data involved is small: a name, a work email address, a practice name and a short message.
Security
The site is served over HTTPS only. Security headers restrict framing, referrer leakage and access to camera, microphone and location. The mailbox that receives submissions uses two factor authentication. No system is perfect, and if a breach ever affects data submitted through this website we will notify affected people and the relevant authority within the deadlines the law sets.
Changes to this policy
When this policy changes materially, the date at the top of the page changes with it and the previous version is available on request. Continuing to use the website after a change means the current version applies to you. Related documents: the terms of service and the legal notice.
